This notice describes our practices for children under 18 who use this platform, consistent with the Children's Online Privacy Protection Act (COPPA). Final language is pending legal review before this platform's public launch.
Information We Collect From Children
When a parent or guardian registers a child, or a child registers with a parent/guardian's involvement, we collect: the child's name and date of birth; the parent/guardian's email address; troop membership, rank, and merit badge progress; service hour records; camper fund transaction history; and messages sent within troop conversations. We do not knowingly collect more information from a child than is reasonably necessary for troop participation.
How We Use Children's Information
We use this information to operate troop membership records, track advancement and service hours, manage camper fund balances, enable supervised communication between troop members (always with a parent or a second adult present, never a child alone with a single adult), and to meet our safety and recordkeeping obligations to the troop's chartering organization. We do not sell children's information or use it for behavioral advertising.
Health Data We Collect
For troops using medical and event-safety features, we collect health-related information about scouts and adult members: emergency contacts, allergies, dietary restrictions, and medications; swim classification; and the expiration dates recorded from the Annual Health and Medical Record (AHMR) parts A, B, and C. We do not store scans or uploads of the AHMR form itself — only these dates and structured fields. We also collect adult members' youth-protection and other BSA training completion and expiration dates.
How We Use And Protect Health Data
Health data is used only to help troop leaders plan safely for events — for example, producing a printable medical roster for an outing, or alerting a leader when a scout's AHMR or an adult's youth-protection training is about to lapse. It is encrypted at rest, restricted to designated leader roles, and every access is recorded in an audit log that a parent or guardian can review for their own child. Health data for a member is removed once that member has been inactive for more than 12 months. We do not sell health data or use it for advertising.
Parental Rights
A parent or guardian may at any time review the information we hold about their child, revoke previously granted consent, or request that their child's account and personal information be deleted. These rights are available from the "My children" section of the parent's account, or by contacting us using the information below.
How To Request Your Child's Information Be Deleted
A parent may request deletion from the "My children" panel in their account. Once submitted, the troop is notified and the request is honored within 30 days. Any outstanding camper fund balance is settled before the account is anonymized; troop financial and advancement records that must be retained are kept in anonymized form so troop books remain reconcilable, but the child's personal information is removed.
