Manage scouts, parents, and adult leaders in your troop.

Adding New Members

Navigate to Admin Dashboard → Members and click Create.

Fill in the required information:

  • Basic Info - Name, date of birth, contact details
  • Username & Email - For login credentials
  • Role - Scout, Parent, Adult Leader, etc.
  • Address - Optional but good to have

Tip: Members can also self-register. You'll need to approve their registration (see below).

Approving Registrations

When someone registers on your troop's site, their account is pending approval.

To approve pending users:

  1. Go to Admin Dashboard → Pending Users
  2. Review the registration information
  3. Click the user to view details
  4. Assign appropriate roles
  5. Activate the account or delete if inappropriate

Quick Registration with QR Codes

Skip the approval process for trusted registrations by using QR codes and secure registration links.

Creating Your Registration QR Code

  1. Navigate to Admin Dashboard → Members
  2. Click the QR - Member Invite button in the top toolbar
  3. Your QR code appears with a secure registration link
  4. Click Download QR Code to save it as an image

Tip: Members who register using your QR code bypass the approval process and become active immediately.

How Members Use the QR Code

New members simply:

  1. Scan the QR code with their phone camera
  2. Fill out the registration form
  3. Get instant access—no waiting for approval

Managing Your Registration Link

Your secure registration link provides these features:

Link Properties

  • Never Expires - Use the same QR code indefinitely
  • Unlimited Uses - Any number of members can register
  • Secure Token - 64-character random string prevents guessing
  • Signed URL - Cryptographically verified to prevent tampering

Regenerating Your QR Code

Need a new QR code? Maybe you shared it too widely or want fresh codes for different events.

  1. Open the QR code modal from Members page
  2. Click Regenerate QR Code
  3. Confirm the action
  4. Download your new QR code

Important: Regenerating creates a completely new link. The old QR code stops working immediately.

Security Best Practices

QR codes bypass approval, so use them wisely:

  • Trusted Contexts Only - Share only with new members and their parents, not on public websites
  • Monitor Registrations - Check new members regularly in your Members list
  • Regenerate Periodically - Create new codes each recruitment season
  • Control Distribution - Know who has copies of your QR code and who is using it

Viewing Member Profiles

From the Members list, click any member to view their complete profile:

  • Personal Information - Contact details and demographics
  • Advancement - Current rank and merit badge progress
  • Event Attendance - Participation history
  • Service Hours - Community service tracking
  • Patrol Membership - Current patrol assignment
  • Positions - Leadership roles held

Editing Member Information

Click Edit on any member's profile to update:

  • Basic Information: Contact details, address, date of birth
  • Roles & Permissions: Assign member roles (Scout, Parent, Leader, etc.)
  • Active/Inactive Status: Control login access
  • Family Relationships: Link scouts to their parents

Below the form, use the tabs to manage:

  • Merit Badges: Track progress and assign counselors
  • Service Hours: Log community service activities
  • Camping Nights: Record camping experiences
  • Positions of Responsibility: Assign leadership roles with dates
  • Patrol Memberships: Manage patrol assignments
  • Event Attendance: Track participation in troop events
  • Awards: Record special recognitions and honors

Understanding Roles

Assign roles to control what members can do:

Role Permissions
Scoutmaster Full administrative access
Assistant Scoutmaster Manage members, advancement, events
Committee Member View members, manage events and finances
Merit Badge Counselor Approve merit badge requirements
Parent View their scout's info, make payments
Scout View own advancement, RSVP to events

Managing Roles & Permissions

Navigate to Admin Dashboard → Roles & Permissions to customize what each role can do.

You can create custom roles or modify existing ones to match your troop's needs.

Caution: Be careful when modifying permissions. Changes affect all users with that role.

Deactivating Members

When a scout ages out or a member leaves, deactivate their account instead of deleting it to preserve historical data.

Edit the member and uncheck Is Active. Inactive members won't appear in most lists but their data remains intact.
