Configure your troop settings and personal preferences.
Troop Settings
Administrators can configure troop-wide settings.
Navigate to Admin Dashboard → Settings → Troop Settings.
Troop Information, Contact & Address
- Troop Display Name - The name shown throughout your site
- Contact Email and Contact Phone - Primary troop contact details
- Address - Address Line 1 and 2, City, State, and ZIP Code
Communication
Troop-wide defaults for event reminders, the weekly digest, and stalled-scout tracking. Individual events can override the reminder settings.
- Event Reminder Offsets - How long before an event starts to send reminders, entered as tags like
7dor1d. Defaults to 7 days and 1 day before; clear all tags to return to that default. - Remind committed attendees - Send reminders to members who RSVPed "Going" (on by default)
- Remind non-responders - Send reminders to members who haven't RSVPed yet (on by default)
- Weekly Digest Send Day - The day of the week the leader digest goes out (Sunday by default)
- Stalled Scout Window (days) - A scout with no completed advancement in this many days is flagged as stalled (90 by default)
- Include stalled scouts in the leader digest - Add the stalled-scout list to the weekly digest (on by default)
Finances
These two settings apply to every payment across the troop.
- Card Processing Fee - Choose Payers cover the fee (each payer sees a labeled processing-fee line added to their total before they confirm, and your troop receives the full amount minus only the platform fee) or Troop absorbs the fee (payers are charged exactly the amount due, and your payout is reduced by the card processing cost on top of the platform fee).
- Allow Negative Camper-Fund Balances - Off by default, which means refunds, adjustments, and charges can never take a camper's fund below zero, and refunds are capped at what the fund still holds. Turning it on lets any of those overdraw the fund; negative balances are then flagged everywhere they appear.
What you can see depends on your role. The Troop Information, Contact, Address, and Communication sections need the "manage settings" permission; the Finances section needs "manage finances." If you only hold one of the two, you'll see only that part of the page.
User Settings
Each user can customize their experience.
Access via Profile Settings in the user menu.
Profile Information
- Name - Display name
- Profile Photo - Upload a photo
- Contact Info - Email and phone
- Address - Mailing address
- Emergency Contact - For youth members
Account Security
- Password - Change password regularly
- Email - Update email address
- Two-Factor Authentication - Enhanced security (optional)
Notification Preferences
Control how you receive updates:
- Announcements - On/Off and frequency
- Events - New events and changes
- Forums - Replies and mentions
- Direct Messages - New message alerts
- Advancement - Progress notifications
- Payments - Invoice and payment alerts
- Email Frequency - Real-time, daily digest, or weekly
Roles & Permissions
Control who can do what in the system.
Navigate to Admin Dashboard → Settings → Role Permissions.
Viewing Roles
See all available roles and their permissions:
- Scoutmaster
- Assistant Scoutmaster
- Committee Member
- Merit Badge Counselor
- Parent
- Scout
Modifying Permissions
Click any role to view and edit permissions:
- Select the role
- Review current permissions
- Check/uncheck permissions as needed
- Save changes
Caution: Permission changes affect all users with that role. Test changes carefully.
Common Permissions
- Manage Members - Add, edit, delete members
- Manage Events - Create and edit events
- Approve Advancement - Sign off on requirements
- Process Payments - Handle financial transactions
- View Reports - Access reports and analytics
- Manage Content - Edit announcements, forums, galleries
- Access Admin Panel - View admin dashboard
Payment Account Settings
Configure payment processing for your troop.
Navigate to Admin Dashboard → Payment Methods.
Stripe Connection
To accept online payments, connect a Stripe account:
- Click Connect Stripe
- Complete Stripe onboarding
- Provide banking information
- Verify identity
- Activate account
Once connected, you can accept credit card payments for events and scout accounts.
Processing Fees
- Standard credit card processing fees apply
- Choose to pass fees to families or absorb them
- Configure this with Card Processing Fee under Admin Dashboard → Settings → Troop Settings (see Finances above) - it is not set on the Payment Methods page
Subscription & Billing
Your troop owner manages the platform subscription.
Subscription Plans
Plans typically include:
- Maximum number of active members
- Storage space for photos and files
- Number of events per year
- Support level
Upgrading
If you need more capacity:
- Contact your troop owner
- Review available plans
- Upgrade through owner's dashboard
- Changes take effect immediately
Data & Privacy
Data Security
- All data encrypted in transit and at rest
- Regular automated backups
- Secure password storage
- Role-based access controls
- Activity logging for auditing
Privacy
- Member data never shared with third parties
- Private by default - public opt-in only
- GDPR and privacy law compliant
- Data export available on request
- Account deletion removes personal data
Youth Protection
- Two-deep leadership enforced in messaging
- Youth cannot message adults one-on-one
- Activity logs track all interactions
- Report suspicious activity immediately
- Follow BSA Youth Protection policies
Troubleshooting
Can't Access Admin Dashboard?
- Verify you have an admin role assigned
- Try logging out and back in
- Clear browser cache and cookies
- Contact troop administrator
Not Receiving Emails?
- Check spam/junk folder
- Verify email address in profile settings
- Check notification preferences
- Add system email to safe senders list
Changes Not Saving?
- Ensure you clicked Save button
- Check for validation errors (red text)
- Try a different browser
- Disable browser extensions temporarily

- Contact your troop administrator

Tip: When contacting support, include screenshots and describe what you were trying to do when the issue occurred.
Best Practices
- Review and update troop information annually
- Audit user roles quarterly
- Encourage members to keep profiles current
- Test notification settings to ensure delivery
- Keep at least two administrators with full access
- Document your troop's settings and customizations
- Train new leaders on the system
- Review activity logs periodically
